MOVING AND CLEANING PLANNER
A move and a clean are linked appointments with different responsibilities. This planner helps organise the order, access and handovers so that a cleaner is not waiting for furniture to leave or a removalist arriving in a room that is not ready for use. Build your own timeline from confirmed arrangements rather than assumed same-day availability.
CREATE TWO PROPERTY RECORDS
Make separate notes for the property you are leaving and the one you are entering. Give each its own address, contact, keys and access constraints. List the rooms involved and whether the property is furnished. A single moving date does not explain when either address becomes available for cleaning or delivery.
Mark the decisions still open, including settlement, access release or final collection. Those uncertainties belong in the plan before appointments are accepted. Do not ask a provider to infer a confirmed handover from a preferred date written in an initial enquiry.
ASSIGN RESPONSIBILITY TO EACH STAGE
Identify who removes belongings, who prepares surfaces, who performs each clean and who secures the property. Keep the moving business and the cleaning business as separate contacts unless a particular arrangement is expressly accepted. Neither service should be assumed to manage the other contractor's timing.
For each stage, note the person able to approve a change. If several household members are involved, nominate one coordinator for provider instructions. Conflicting messages about access, retained furniture or extra rooms can turn a clear quote into a different job on the day.
PUT READINESS BEFORE THE CLEANING SLOT
Check whether the agreed cleaning requires empty cupboards, clear floors or accessible appliances. Schedule furniture collection and household preparation accordingly. If some belongings remain, tell the cleaner what stays and ask how that changes the scope. Do not compare an empty-house quote with a visit that must work around packed rooms.
At the incoming property, check when keys and utilities are available. A clean before delivery may be useful, but the actual appointment depends on accepted access and readiness. Keep any tasks requiring assessment separate from the routine presentation you want before moving in.
ALLOW FOR SPECIALIST APPOINTMENTS
Carpet cleaning, window work or another specialist task may have a separate business, scope and timetable. Discuss the order of attendance and what access each needs. Ask the relevant provider for instructions about room use afterwards. The end of a cleaning visit is not always the point at which furniture should be returned or every area used normally.
Avoid compressing unrelated tasks into one assumed window. If both businesses accept the proposed sequence, record the details and contact route for a delay. The planner should show dependencies rather than imply that one appointment guarantees the next.
BUILD A CONTINGENCY THAT CAN ACTUALLY WORK
Ask each business what happens if the property is unavailable, another contractor is late or the scope changes. Keep rescheduling terms with the appointment record. Identify a person who can provide keys if the main coordinator must leave. Where building entry is controlled, confirm the relevant contractor arrangements separately.
Leave room for reviewing the completed work and securing the premises. An inspection or key-return deadline should be visible to the businesses when the appointment is discussed. A rushed handover is harder to resolve if the only plan was that everything would finish on moving day.
CONFIRM RATHER THAN ASSUME
Before the move, check the final addresses, scope versions, accepted windows and contacts directly with each provider. Keep written confirmations in one place. Tell the affected businesses when a readiness date changes. A comparison enquiry is a way to request responses; it does not reserve transport or cleaning.
After each stage, record completion, issues requiring discussion and access devices returned. Use the relevant service checklist to discuss specific tasks instead of relying on a broad move-and-clean label. The result is a sequence with clear responsibilities that you can adjust when circumstances change.
USE THIS WORKING RECORD
| Planning item | What to record or clarify |
|---|---|
| Outgoing property | Furniture collection → ready-for-clean check → accepted cleaning → completion review → key return |
| Incoming property | Access release → agreed preparation → cleaning if booked → provider-advised room readiness → delivery |
| Every appointment | Business, accepted window, scope version, contact and readiness dependency |
| Contingency | Who to contact, alternative key holder and agreed rescheduling terms |
| Close-out | Invoice or service record, specific concerns and returned access devices |
WHAT SHOULD HAPPEN IF THE MOVE RUNS LATE?
Contact the affected provider using the agreed process and explain which dependency has changed. Do not assume a cleaner can wait indefinitely or attend later without a revised arrangement. Confirm the effect on access, readiness and rescheduling terms, then update the rest of the timetable.
WHO CHECKS THAT A PROPERTY IS READY?
Assign that check to a named person with actual access. They should confirm the agreed rooms are clear, keys are available and any required facilities are ready. A remote coordinator can keep the timetable, but someone needs responsibility for the condition described to the cleaning business.
KEEP THE FINAL RECORD USABLE
Keep one current timetable rather than several conflicting messages. Mark which appointments are accepted, which depend on another event and which remain requests only. Give any revised version to the people affected so a changed key handover does not leave another provider working from an obsolete plan.
